The Spanish Association for Standardisation and Certification (AENOR), a professional services company dedicated to the certification of a wide range of businesses and institutions, has just awarded the Port Authority of the Balearic Islands (APB), certification for its management system for records, in accordance with standard UNE-ISO 30301:2011.
The APB is in the process of implementing a strategic electronic administration plan (2015-2019), promoting digital transformation with the aim of encouraging and speeding up administrative procedures by making them entirely digital, using zero paper, and therefore achieve an electronic, interconnected and transparent administration.
The transition to a completely digital environment is as much of a challenge as it is an opportunity. In order to address these needs, the APB sought ISO 30301 certification. This standard recognises the fulfilment of the requirements stipulated for policies, objectives and established processes for managing records, in addition to their continuous evaluation and improvement. It also specifies the requirements for establishing, implementing, maintaining and improving the management system for records in both public and private organisations.
Digital transformation
The record and file management platform is the main pillar of the digital administration model proposed by the APB. As such, they have implemented integrated digital administration solutions, including a catalogue of digital services and the Digital Tender Portal, among others, with the end goal of incorporating all of the business applications in the record management model.
With reference to the Management System for Records (MSR) it should be noted that following the approval of its own policy for the complete digital transformation of the organisation, the MSR was integrated into the two systems already certified by the APB, that of Quality (ISO 9001:2008) and Environment (ISO 14001). These are based on the principles of customer focus, leadership, commitment, a process-based approach, continuous improvement, a factual approach to decision making based on evidence and the maintenance of mutually beneficial relationships with providers.
Achieving this certificate is proof of the APB's firm and determined commitment to digital transformation based on the effective and efficient management of electronic documents and records, as well as an important milestone in the path they began in 2016.
